Change a facility's task types

Task types are the categories people choose from when they fill in a work order, such as Plumbing Issues or Fire Safety. Each facility has its own list, so changing one facility doesn’t affect the others.

Who can do this: Admin, Manager

  1. Select Facilities in the sidebar.

  2. Select the three-dot menu on the facility’s card, then Edit Task Types.

  3. To add a task type, enter it under Add New Task Type, then press Enter or select the plus button.

  4. To remove a task type, select the X next to it under Current Task Types.

  5. Select Save changes.

If you removed a task type that work orders still use, Flex CMMS asks you to move those work orders first.

To rename a task type, add the new name and remove the old one.

The Affected Work Orders window lists every work order at the facility that uses a task type you removed, including closed ones. Each one needs a new task type before you can continue.

  1. To move all the work orders of one task type together, choose a new type under Bulk reassign to:. To move them one at a time, choose a type under Reassign to for each work order.

  2. Select Update Work Orders.

Flex CMMS updates the work orders, then saves your new task type list. To back out, select Cancel Changes. Your work orders stay as they were and the list goes back to how it was.

Select Reset to Default in the Edit Task Types window, then Save changes. This replaces the whole list, so any task types you added are removed.

The default task types are Clean Up / Spill, Cooling Issue, Electrical Issue, Equipment Repairs, Fire Safety, General Maintenance, Health and Safety, Heating Issues, Lighting Issues, Mechanical Issues, Painting / Touch Ups, Pest Control, Plumbing Issues and Waste Issues.
