Add notes to a work order
Use notes to record what you’ve found, what you’ve done and what’s still needed. Everyone who can see the work order can read its notes.
Who can do this: Admin, Manager, Technician, Tenant
-
Open the work order and go to the Notes tab.
-
Type your note in the box under Add new note.
-
Select Add Note.
Your note appears under Notes History, newest first, with your name and the date and time. Anyone else with the work order open sees it straight away.
Notes are saved as soon as you select Add Note. You don’t need to select Update Work Order.
You can only add notes to a work order that already exists, so the Notes tab isn’t available while you’re creating one.
Change a note
Section titled “Change a note”You can’t edit a note after adding it. If you need to correct something, add a new note or delete the old one and add it again.
Delete a note
Section titled “Delete a note”Select the trash icon on the note. Who can delete a note depends on your role:
| Role | What you can delete |
|---|---|
| Admin | Any note |
| Manager, Technician, Tenant | Your own notes |
| Viewer | Nothing |
A deleted note disappears from the Notes tab, but its text and author stay in the Audit Log, which everyone who can see the work order can read.
When you can’t add a note
Section titled “When you can’t add a note”- You see “You have view-only access, so you cannot add notes”. You have the Viewer role.
- You see “Notes cannot be added to closed work orders”. Your facility has Lock closed work orders on.
- You see “Cannot add notes - this facility is disabled”. See Disable a facility.
Who hears about a new note
Section titled “Who hears about a new note”New notes don’t create in-app notifications. They can be included in the work order’s update email. See Work order notifications.
