What is Flex CMMS?

Flex CMMS is a web app for tracking maintenance work. Someone reports a problem, the work gets assigned, and everything that happens is recorded until the job is closed.

You use it in a browser at app.flexcmms.com, on a computer or a phone.

Four ideas explain most of how the app works.

A company is your organization in Flex CMMS. It’s the group of people you work with, and your Admins manage them. Your company is set up for you, so there’s nothing for you to create.

A facility is a physical place where work happens, such as a pharmacy or a hotel.

You only see the facilities you created or have been assigned to. This applies to every role, including Admin. If a facility you expect isn’t there, you probably haven’t been assigned to it yet.

A user is anyone with a Flex CMMS login. Every user has one role, and the role decides what they can do.

Role What it’s for
Admin Manages the people in your company, and can do everything a Manager can
Manager Sets up facilities, works on work orders and uses Finance
Technician Creates, updates and closes work orders
Tenant Creates, updates and closes work orders, the same as a Technician
Viewer Can see work orders but can’t change them

A work order is the record of one job. It says what the problem is, where it is, how urgent it is, who is working on it and where it stands. People add notes and attachments as the work moves along, and each work order keeps a history of what changed.

Every work order belongs to one facility.

People belong to your company, and they get assigned to facilities. Work orders belong to facilities. So the facilities you’re assigned to decide which work orders you can see, and your role decides what you can do with them.
