Work order statuses
A work order’s status shows where the job stands. Every work order starts as New, and you change the status as the work moves along.
What each status means
Section titled “What each status means”| Status | What it means | Badge color | On the Dashboard |
|---|---|---|---|
| New | Just created. Its status hasn’t been changed yet. | Green | Active |
| Pending | Open and still in progress. | Blue | Active |
| Delayed | Open, but held up. | Yellow | Active |
| Closed | The work is finished. | Gray | Completed |
| Excluded | Set aside. | Gray | Neither active nor completed |
Active work orders count toward Active Work Orders and show in Upcoming Due Dates on the Dashboard.
Closed is the only status with extra rules, which are listed below. Pending, Delayed and Excluded have no rules of their own, so your team can agree how to use them.
Change the status
Section titled “Change the status”Who can do this: Admin, Manager, Technician, Tenant
-
Open the work order and go to the Details tab.
-
Select a new Status.
-
Select Update Work Order.
The change is recorded in the Audit Log, and people following the work order may be notified.
Which changes are allowed
Section titled “Which changes are allowed”You can change any status to any other status. There’s no set order, so you can skip a step or go back, such as from Closed to Pending or from Delayed to New.
There are a few exceptions:
| Situation | What happens |
|---|---|
| You’re creating a work order | The status is always New. The field isn’t on the form. |
| You’re changing to Closed and your facility requires a note | You pick or add a note before it closes. See Close a work order. |
| The work order is Closed and your facility has Lock closed work orders on | The Status field is unavailable in the work order window. |
| The facility is disabled | You can’t save changes. |
| You have the Viewer role | You can see the status but not change it. |
If a work order was created by mistake
Section titled “If a work order was created by mistake”You can’t delete a work order. Instead, set it to Excluded so it doesn’t count as active or completed on the Dashboard. It stays in the list, and you can hide it with the Status filter.
