Change a project's status

A project’s status shows where the work stands. You can change it at any time, in either direction.

Who can do this: Admin, Manager

Most projects move through these in order:

SOW Received, Under Review, Bidding, Proposal Drafting, Proposal Sent, NTP Received, In Progress, Work Complete, Closed

These four sit outside that path:

Status Use it when
Revision Requested The tenant asked for changes to your proposal
Proposal Rejected The tenant turned your proposal down
On Hold The work is paused
Cancelled The work won’t happen and you want to keep the record
  1. Open the project and select Change status.

  2. Choose the New status.

  3. Add a Note if it helps. It appears in the project’s Activity tab.

  4. Select Update status.

Drag a card to another column. On a phone, press and hold the card first. The Change status dialog opens with a status already chosen, and you can pick a different one before you select Update status.

Column Status chosen for you
Intake Under Review
Bidding Bidding
Proposal Proposal Drafting
NTP / SLA NTP Received
In Progress In Progress
Closed Closed
Parked On Hold

When logging something implies a new status, the form shows Also move the project to that status. It’s ticked by default, and you can untick it. It only moves a project forward.

What you log Moves the project to
A bid Bidding
A proposal marked Sent Proposal Sent
A proposal marked Revision Requested Revision Requested
A proposal marked Rejected Proposal Rejected
An NTP, LA or SLA NTP Received

The option doesn’t appear if the project is already past that stage, or if it’s On Hold or Cancelled. Marking a proposal Accepted doesn’t move the project. Logging the NTP does.

Every status change counts as activity on the project. The days a card shows in a stage, and whether it counts as stalled, are measured from the last status change.
