Work on a work order with other people

More than one person can have a work order open at the same time. Flex CMMS shows you who else is there and passes changes between you as they happen.

When a work order is open, initials appear in the top right of the window for each person viewing it. Hover over or tap the initials to see the person’s name, shown as “Sam Lee is editing”. This appears for anyone with the work order open, even if they’re only reading it.

What changes What you see
Someone changes a field on the Details tab The field updates on your screen, with a short message naming the field and the person. This happens as they make the change, before they save.
Someone adds or deletes a note The Notes tab updates straight away.
Someone adds an attachment If you’re on the Attachments tab, the file doesn’t appear until you switch to another tab and back.
Someone saves a work order, or creates a new one A short message appears, such as “Work order updated by Sam Lee. Refreshing data…”, and the list updates.

Changes on the Details tab aren’t saved until someone selects Update Work Order.

Because unsaved changes appear on everyone’s screen, one person can save what another person typed. If someone already has the work order open when you open it, you may see “Applied unsaved changes from another user”. Your form then matches their screen, including anything they haven’t saved yet.

Notes and attachments are different. Each one saves on its own as soon as you add it, so they can’t overwrite each other.

If your connection drops, live updates stop. Once you’re back online, select the refresh button above the list to get the latest changes.
