Purchase order settings
Each facility has its own purchase order (PO) settings: how POs are numbered, what the PDF looks like, and which defaults new POs start with.
Who can do this: Admin
-
In the sidebar under Finance, select Purchase Orders, then PO settings.
-
Choose the Facility.
-
Enter the PO number prefix. Use up to 12 letters, numbers and dashes. The form shows an example number, such as KCP-2026-0001.
-
Under Logo, select Upload and choose a PNG, JPEG, GIF or WebP image. The logo saves right away, separately from the rest of the form.
-
Enter the Name on the letterhead and a Contact line, such as a phone number and email.
-
Enter the Bill to and Ship to addresses.
-
Set the Default payment terms and Default tax rate (%).
-
Enter the Terms and conditions, and any small print for the Footer.
-
Select Save settings.
Until someone saves settings for a facility, it uses defaults: a prefix from the facility’s initials, its name and address, Net 30 terms and a 0% tax rate.
Two facilities can’t use the same prefix. Numbers run in order for each facility and start again each year.
What changes on existing POs
Section titled “What changes on existing POs”| Setting | Existing POs |
|---|---|
| Prefix, Bill to, Ship to, payment terms, tax rate, Terms and conditions | Keep what they were created with. Only new POs pick up the change. |
| Logo, Name on the letterhead, Contact line, Footer | Use the current settings. The next time anyone opens the PDF of an existing PO, it shows the new version. |
